Play Your Messages

Your phone will either have a message-waiting indicator light or a special stutter dial tone when you pick up the handset. Either condition indicates you have new messages you have not heard.

After logging in, listen to the mailbox summary (it tells you how many new messages you have.) New messages play first, followed by all previously played messages.
Listen to the first message You hear the message envelope with the sender's name and the date and time of the message.
To play the message, press 2 Message plays.
To skip back, press 1 Message 5 seconds earlier plays.
To skip forward, press 3 Message 5 seconds later plays.
To pause, press # Playback stops.
To continue, press 2 Playback resumes.
To go to the next message, press 6 Next message plays.
To go to the previous message, press 4 Previous message plays.
To go to a specific message, press 86, the message number, and then # 86 number and pound Specified message plays.
To delete a message, press 76 while playing the message or its announcement 76 "Message deleted."
To restore a deleted message (within the current session only), press 76 again 76 "Message restored."
To play the message envelope, press 72 72 Message envelope plays.

Empty Your Mailbox

Press 76 to delete each message while playing the message or announcement 76 Deleted messages are removed when you press 81 or hang up.
Press 81 to empty your mailbox if you wish to log in again without hanging up 81 Note: Your messages will automatically be deleted by the system seven days after being played.

Change Your Password

For security reasons, your password should be changed from the default password. Your password will expire after 90 days. You will be given advanced warning and be allowed to change the password.

While logged in to Meridian Mail, press 84 84 "Password change. Please enter your new password, followed by the pound sign."
Enter your new password, then press # new password "Please enter your new password again, followed by the pound sign."
Note: Your password will be five numbers long. You cannot use a number sign or an asterisk. (The text "NEWPW" and "OLDPW" shown in the center column is used here only for illustration.)
Enter the new password again, then press # new password "To confirm the change, please enter your old password, followed by the pound sign."
Enter your old password, then press # old password "Your password has been changed."
Note: If your password expires, follow the steps for changing a password

Record Your Greeting

Callers from outside the 837 prefixes will hear your personal external greeting; callers within the 837 prefixes will hear your personal internal greeting.

While logged in to Meridian Mail, press 82 82 "For your external greeting, press 1. For your internal greeting, press 2."
Press 1 for external greeting, or 2 for internal greeting or The greeting (external or internal) you chose is selected.
If you want to hear the current greeting, press 2 The current greeting plays.
Press 5 to record. Wait for the tone before you start to speak Recording begins.
Press # to end the recording. When you have finished recording, you can play the greeting, re-record the greeting, or delete the greeting "Recording stopped.

Play Your Greeting

Press 2 to play the greetings you recorded The new greeting plays.

Re-Record Your Greeting

While at the beginning of the greeting, press 5 to record. Repeat the above steps for recording The new recording will erase the old one from the place where you started to re-record.

Delete Your Greeting

Press 76 to delete a greeting 76 The greeting is deleted.
Note: If you do not record an external greeting, all external customers will hear the following: "(your name) is not available to take your call. Please leave a message after the tone or press zero for assistance." If you do not record either an external or an internal greeting, all customers will hear the above message. If you record only an external greeting, all customers will hear the external greeting.

To Exit

Press 4 to exit You return to your message.

Record A Reply

You can record a reply to a message sender, and send your reply to all other recipients of the message, if they are known to Meridian Mail.

Immediately after listening to the message, press 71 to reply to the sender 71 "Reply to (sender's mailbox number or name.)."Meridian mail automatically addresses your reply to the sender.
When you are ready, press 5 to record your reply. Wait for the tone, then begin recording Recording begins.
When you have finished recording, press # "Recording stopped."
To send the message, press 79 79 "Message sent."

Send Reply to All Recipients

If you want to play the list of recipients to whom your reply will be sent, press 72 72 You hear the contents of the message envelope, containing the list of recipients.
Press 74 to reply to all recipients. 74 "Reply all. To (sender's mailbox number or name.)" Meridian Mail automatically addresses your reply to all recipients.
To record and send your reply, repeat steps 2 through 4 above

Call the Sender

After listening to a message, you can automatically place a call to the sender of the message, if the sender is known to Meridian Mail.

Immediately after listening to the message, press 9 to call the sender "Calling (sender)
Speak to the sender, or leave a message
Hang up when you finish your call

Forward a Message

You can forward a message to another person or to a distribution list. You can also record an introduction to the original message.

After hearing the message, press 73 to forward 73 "Forwarding message (number). Enter a list of mailboxes."
Enter the mailbox number or distribution list to which you want to forward the message, then press #. Repeat this step for any other mailboxes or distribution lists. If you want a copy of the message, you must include your own mailbox number in the list. End by pressing # 1234 "(Name or mailbox/list number.)"
To record an introduction, press 5, wait for the tone, then speak. End the recording by pressing # Recording begins. "Recording stopped."
To send the message, press 79 79 "Message sent."

Assign a Custom Operator

You can offer your callers the choice of leaving a message or speaking to a co-worker. In your greeting, you can tell callers to press zero after the tone if they wish to speak to someone in your absence.

While logged in to Meridian Mail, press 80 for mailbox options 80 "Mailbox options."
Press 1 to change operator Keypad 1 A prompt tells you the current customer operator number.
Enter the new custom operator's number, then press # 1234 "The operator assistance number has been changed to (number.)"

Send an Express Message

Express messaging is a fast method of leaving a message in another Meridian Mail mailbox without logging in to your mailbox to compose and send a message.

Dial the express messaging access number 3432 "Express messaging. To mailbox?"
Enter the mailbox number of the person for whom you are leaving the message, then press # 1234 ("Name or mailbox number.) Please leave a message after the tone."
Wait for the tone, then record your message
Hang up

Address and Send a Message

You can compose a message to one or more people or distribution lists, then edit the message if necessary, and send it when you are ready.

While logged in to Meridian Mail, press 75 to compose a message 75 "Compose. Enter a list of mailboxes."
Enter the first mailbox or distribution list number, then press #. Continue to enter mailbox or distribution list numbers followed by # until you have finished (if you want a copy of the message, you must include your own mailbox number in the list), then press # again 1234 ("Name or mailbox number/list number")"To begin recording, press 5. To end recording, press number sign."
Press 5 to record. Wait for the tone, then record your message. End the recording by pressing # Recording begins. "Recording Stopped."
To send the message, press 79 79 Message is sent to recipients.

Cancel an Address Entry

You can cancel the last mailbox number or distribution list number you entered by pressing 0#. Repeat this step, erasing entries one at a time, as often as required. After you have pressed the final #, you cannot cancel any numbers. zero and pound "Address (mailbox number) canceled

Edit a Message

Before sending a message you have recorded, you can check it and edit if required.

To play your message, press 1 Message Plays.
To skip back, press 1 Message 5 seconds earlier plays.
To skip forward, press 3 Message 5 seconds later plays.
To pause, press #; to continue, press 2 Playback stops. Playback resumes.
To erase the message and re-record, press 5 while at the beginning of the message. Wait for the tone, then record. Press # to end the message The new message records over the old one. "Recording stopped."
To add to the end of the message, press 5 while at the end of the message. Wait for the tone, then record. Press # to end the recording Information is added to the message "Address (mailbox number) canceled."
To re-record part of the message, press 5 while at the place in the message where you want to start. Wait for the tone, then record. Press # to end the recording New information is recorded where you start. "Recording Stopped."
To delete the message entirely, press 76 76 "Message deleted."
To play the message envelope, press 72 72 Message envelope plays.

Create a Personal Distribution List

A distribution list contains frequently used mailbox numbers within your Meridian Mail system. Use a list to save time instead of entering a series of mailbox numbers. You can create up to nine distribution lists, each containing 99 entries.

While logged in to Meridian Mail press 85 85 "Distribution List."
Enter a number from 1 to 9 to identify a list, then press # to Message 5 seconds earlier plays.
Press 5 to create the list "Compose distribution list."
Enter mailbox numbers, then press # 1234 Playback stops. Playback resumes.
To delete the last entry in the list, press 0# "(Mailbox number) canceled."
When the list is complete, press # "End of list."

Check a Distribution List

Press 85 85 "Distribution list."
Enter the distribution list number, then press # to "Distribution list (number)."
Press 2 to play the list "Distribution list (number). (Mailboxes). End of List."

Change or Delete a List

To change a list, delete the list by pressing 76 immediately after you hear the list number, then create a new list. 76 "The distribution list has been deleted."

Tagging a Message

When you create a message, you can tag it to indicate that you want it handled in a special way. You can tag a message before sending it. You can use one or more tags per message, and you can remove and change tags. There are four tagging options:

  1. Urgent: Urgent messages are announced when the recipient logs in.
  2. Private: If a message is tagged as private, the recipient cannot forward the message.
  3. Acknowledge: If a message is tagged for acknowledgement, you receive a confirmation message when the recipient plays your message.
  4. Timed Delivery: You can tag a message to be sent at a specific time on a specific date. Sul Ross State University's Meridian Mail uses a 24-hour format.

For delivery today at time:

  • the Day would be #
  • the Month would be #
  • the Hour, Minutes would be #

For delivery at 0825, 15 November:

  • the day would be 15#
  • the Month would be 11#
  • the Hour, Minutes would be 825#

Note: The maximum number of days into the future you can tag for timed delivery is 31, and cannot cross into the next calendar year.

After recording a message, press 70 70 "Message Options."
For URGENT delivery, press 1. For PRIVATE delivery, press 4. For ACKNOWLEDGEMENT, press 5. For TIMED delivery, press 6 "The message has been tagged for (option) delivery."
To send the message, press 79 79

Message Tagging Shortcut

To tag a message without waiting for the prompt, enter the full number of the tag after recording your message. For example, to tag your message both URGENT and PRIVATE, 1. Press 701 2. Press 704 701 704 Tagged URGENT. Tagged PRIVATE.

Specify Timed Deliver

Press 70 70 "Distribution list."
Press 6. Enter the month #. Enter the day #. Enter the hour and minute "Delivery month?" "Delivery day?" "Delivery time?" "Your message has been tagged for timed delivery at (date)(time.)"
Press 79 to send 79 "Message sent."

Remove a Tag

Before sending a message, you can remove a tag. Press 70, then re-tag. URGENT to STANDARD PRIVATE to not PRIVATE ACKNOWLEDGE to no ACKNOWLEDGE TIMED DELIVERY to no TIMED DELIVERY 70 "Message Options."
